Ask AI to analyze a file with a question worth answering

Uploading a file is only the beginning of a useful workflow. The next step is to tell the AI what you want to learn or produce from it. A request such as “analyze this” leaves too much room for a polished summary that misses the decision you actually need to make.

Name the question and the evidence

Explain what the file represents, which period or version it covers, and the output you want. For a synthetic repair spreadsheet, you might ask for unresolved items grouped by their next dependency. For a draft handbook, you might ask for confusing instructions and missing sections. Keep the task tied to the supplied source.

Use the current platform's supported file controls and review its privacy and access settings before sharing real information. File type support, limits, and the ability to create an edited output can vary by platform and plan. A successful upload also does not prove that every page, image, or table was interpreted correctly.

Ask for a checkable result

• Identify the source rows, sections, or pages behind key findings.
• List missing or ambiguous information separately.
• State the transformations or calculations performed.
• Preserve original data and work from an appropriate copy.
• Include a small set of examples you can manually verify.

For example: “Find repair rows with no next action. Return the row identifier and the missing field; do not infer completion from an empty status.” This is easier to validate than a broad request to score the quality of your management.

Inspect the output, not just the explanation

If the AI creates a file, open it. Check headings, formulas, formatting, and a few source-to-result examples. Confirm that totals use the intended records and that a blank value has not silently become zero. For scanned or complex documents, verify important details directly against the original.

Keep the useful method

Once the task works, retain the brief and the acceptance checks for the next file. Update the source period and relevant assumptions each time. The value is a repeatable analysis you can inspect, not a claim that AI has made the source complete, correct, or authoritative simply by reading it.
