If you repeatedly explain the same background to an AI, a project may be a better starting point than a succession of unrelated chats. Give the project a clear purpose

Choose a scope that a person could describe in one sentence: prepare a rental handbook, organize maintenance planning, or research a software purchase. Avoid combining every personal and business task in one project merely because the same AI can work on them. A clear boundary makes it easier to know which information belongs there.

Add only the material appropriate for that project and account. Write short instructions about audience, terminology, source priority, and review expectations. Do not place passwords or unnecessary renter information in general project context. Organizing a project does not itself create permission to share every file associated with the property.

Give each conversation an outcome

Ask about missing material facts rather than inventing them.” These instructions improve the working brief, but connected services still need their own enforcing permissions and review controls.

Review the context periodically

Remove obsolete working assumptions according to the platform's controls and your retention needs. Replace an outdated source with the current version and identify the change clearly. Before an important deliverable, ask which sources it used and check the result. A project can reduce repetition, but it should not turn old context into unquestioned truth or imply that every conversation has automatically verified the latest property records.
