Ask AI to explain a spreadsheet before changing it

A spreadsheet can look orderly while containing inconsistent periods, duplicate rows, or formulas that omit part of the data. AI can help inspect and explain a workbook when the platform supports the relevant file workflow. Begin with a read-and-explain task before asking for broad edits.

Establish what the workbook represents

Tell the AI which sheets, periods, and source records matter. Ask it to identify the existing structure and calculations without assuming blank cells are zero or that every row belongs in a total. Keep the original file intact and use an appropriate working copy for any changes.

For a synthetic expense example, ask: “Explain how the monthly totals are calculated. Identify duplicate-looking rows, missing dates, and formulas that appear inconsistent. Do not change the workbook yet.” This creates a reviewable map of the file before a new version is produced.

Check a sample yourself

• Trace a total back to its intended input rows.
• Inspect a few formulas and their ranges.
• Compare a flagged duplicate with the source evidence.
• Verify the treatment of blanks, credits, and negative values.
• Check whether dates refer to the same accounting concept.

A model's explanation should not replace the workbook or transaction evidence. For real financial decisions, use the proper accounting process and qualified review. A spreadsheet edit is not automatically an authorized ledger correction.

Make changes narrowly

Once the issue is understood, request a specific correction and ask for a description of what changed. Open the resulting file, check formulas and formatting, and compare the important outputs with the original. Confirm that the edit did not unintentionally alter other sheets or remove context.

Keep a repeatable acceptance check

Save the checks that exposed errors, such as a known total or a small reconciliation example. Use them when the workbook is updated again. AI is especially helpful when it makes the structure easier to inspect; the value is lost if a generated file becomes a new black box that nobody verifies.
